Installation Coordinator to be based in the Portishead Office of a International Security System Installer.

Reporting To  - Regional Installation Manager

Main Functions of Role
To control a team of installation Engineers and Sub Contractors, to schedule work into the Google planner for the appropriate amount of time. To liaise with clients, Regional and National Sales depts. To ensure expectations are met with regard to booking and scheduling of work. To liaise with area Supervisors and the Installation manager to ensure maximum productivity of staff.Principle responsibilities
Entry and maintenance of all new installation and extra works jobs received from N/A and regional sales
Front sheet written out for job pack
Job loaded on MIS
Customer/contractor contacted for installation date or 1st, 2nd fix, and H/O dates
Email sent to customer for confirmation
Job pack passed to be contract reviewed
PO raised for works if being done by sub-contractor, Tracker updated 
Engineer pack made up with copies of specs
MIS updated with dates of attendance, engineer and any relevant notes
RSD google sheet updated if necessary
Email for engineer created with spec and drawings attached, details of Pronett/Ostara or Wisdom numbers and who the supervisor is
Installation planner updated with job details
Create RAMS if required
Pronett/Ostara updated if required
Monitor and action emails
Close RSD/co-op/boots jobs on BS
Liaise with engineers re how job is going that day, if any equip etc is needed
Ensure Engineer completed paperwork is received, inform Supervisor of any discrepancies
Contact the relevant Sales Dept. if paperwork for a booked job has not been received within the expected timescale
Verify subcontractor invoices via Sage and update installation planner
Any other duties in line with the role
Answer phones

Knowledge and Requirements

Good working knowledge/experience of computers including MS office software such as Word, Excel is essential.

Demonstrate a high level of confidence, self-motivation and initiative
Good communicator with colleagues and Engineers.
Ability to work on own initiative, to resolve issues and proactively to avoid problems
Ability to work under pressure
Have a flexible and willing approach to work
Team player
